How to Keep Sample Feedback Usable During China Sourcing
Core idea: Sample feedback is most useful when it remains attached to the exact sample, file, image, or version it describes.
A feedback point needs a current reference
Comments such as “make this smaller,” “change the colour,” or “the finish is not right” are difficult to carry forward when the current sample version is unclear. The point may be valid, but the reference has been lost. That increases the chance that a supplier, buyer, or production team is looking at a different version of the product.
Separate observation from requested action
Record what was observed first. Then state the requested action: explanation, revision, comparison, replacement, approval, or another sample check. Linking the observation to a photo, measurement, drawing, or current version makes the next response more traceable.
Carry the result into the next version
A response is not automatically an approval. Keep the supplier response, next file or sample, remaining open point, and buyer approval question in the same record. This gives the next version a visible lineage instead of relying on memory.
